Policies and Procedures

1 - Regular Practices
  • Typically Tuesday afternoons. Practice times may be extended if the Director feels more time is required to prepare for concerts. Members will be notified by email of any changes.
2 - Attendance
  • Members should plan to attend every practice when possible to ensure the best quality for our concert and sing-out audiences.
  • The Membership Director is to be advised whenever a member is unable to attend. Please refer to the Telephone/Contact List for contact information.
  • We welcome everyone to come enjoy the benefits of singing with a group at practices. The Choir Director has the final say of whether a member is ready to perform at concerts to ensure the best quality for our audience.
3 - Dues and Fees
  • An Annual Membership fee of $15 is due in September. Monthly dues are $24, with an option of paying semi-annually ($120) or annually for a discount ($230). Members are required to pay the dues whether present or absent. This ensures we can afford the Director, musicians, music and other costs associated with maintaining the Choir.
  • Dues are kept as low as possible to ensure members can afford to learn and enjoy all our choir has to offer. It is important to note we still have among the lowest fees of most choirs. We welcome and appreciate additional donations to help meet our financial obligations.
  • Dues will be reviewed annualy to ensure the Choir can maintain financial stability over the coming fiscal year, and possibly beyond, and the members will be notified of any changes in advance of the first practice in September.
  • There is a Deposit of $25 for music. This fee will be returned if ALL music scores are in good condition, markings erased and handed in by the date set out by the Librarian.
4 - Music
  • Music is handed out in alphabetical order to make it simple to find quickly. There is no need to rearrange the order until right before the concert.
  • Always use pencil only to mark music as instructed by the Director and erase pencil markings before returning music.
  • Music for concerts and sing-outs must be returned after the final performance of each season by the date determined by the Librarian.
  • Music remains the property of the Grimsby Celebration Choir and is to be returned when leaving the choir.
5 - Polo Shirts
  • The choir has adopted blue shirts with our logo which members are required to purchase.  The choir is subsidizing the cost so members only need pay $20 toward the full price of the shirt.
  • The purchase is mandatory and there are no refunds.
6 - Code Of Conduct
  • Courtesy and Respect is to be shown to every member and they should expect it in return.
  • Please avoid disrupting practice by talking, especially when the Director is working with other sections of the Choir:
  • Socializing with other members is an essential part of the experience and should happen before or after practice or during breaks. If others are practising before or after the formal practice, please take your visit outside the room.
  • Remember, Announcements are important for everyone to hear
  • Many people have a sensitivity to scents, some extreme.  Scents include perfumes, soaps, lotions and even clothes fresh from the dryer with a scented anti-static sheet.
  • Every member has the right to feel safe and the choir follows a Zero-Tolerance Policy regarding harassment and unwanted behaviour:
  • All issues or concerns should be directed to a member of the Board of  Directors (Please refer to the Web site Members section for contact information)
  • Failure to comply with the Policy will result in immediate termination from the Grimsby Celebration Choir.
  • All issues and terminations will be reviewed by the Executive
7 - Concerts / Sing-Outs
  • The Choir Director has the final say of whether a member is ready for a performance.
  • Dress for concerts is traditionally black pants/skirts and black shirts/blouses with minimal jewellery. Scarves, ties and poofs may be distributed for seasonal concerts and must be returned immediately following the event.
  • Dress for Sing-outs will be our blue polo shirts and black pants.
  • Always smile when entering and leaving the stage and carry your book in your right arm.
  • Ensure you can see the Choir Director by shuffling into position as necessary.
  • Keep your book open and still until the piano has finished at the end of each song.
  • Members requiring assistance to enter or exit concerts will be seated first and escorted out last.
8 - Other Concerns
  • Members who have a concern regarding the operation of the choir are required to submit their concern in writing to any Board member:
  • The issue will be discussed at a Board meeting.
  • The member will receive a written response.
  • The Choir will be informed of any necessary changes to the operation of the Choir as a result of the concern while maintaining the member’s confidentiality.
9 - Ad Hoc Committees
  • The Board shall appoint at the required time, the following Ad Hoc Committee:
  • INTERIM EXECUTIVE
  • An Interim Executive Committee comprised of three members of the Board shall be appointed and be empowered to make decisions on issues arising when the choir is in hiatus.  Minutes of the meeting(s) shall be maintained and actions shall be reported to the Board at the next regular meeting.
  • Members of the Interim Executive Committee are subject to availability and shall be appointed at the last regular meeting prior to the hiatus​.
10 - Meetings
  • Annual General Meetings (AGM) shall be held in September or the earliest possible date following the fiscal year end in July. These meetings are an opportunity for members to be advised of the choir financial position, and to learn of any plans made so far for the coming year.
  • Board meetings will be held as required. There must be a quorum of at least 4 of 6 voting members. Decisions made by the Board of Directors are made after careful consideration of the goals and objectives of the choir, its members, the financial budget targets for the year, and the overall achievement of the artistic plans for the season as they unfold throughout the year for the motion proposed.
  • Decisions will be communicated to the members either at the Annual General Meeting or through the News & Notes emails.
